Cancellation & Refund Policy
When booking any standard Coastal Blaze bonfire package (non-special event), $125 of your payment goes directly toward securing the required county beach bonfire permit. This fee is paid upfront to the county and is non-refundable once issued.
Standard Cancellation
Cancel 48+ Hours Before Your Bonfire:
If you cancel at least 48 hours in advance, you’ll receive a full refund minus the $125 permit fee. No additional penalties — we just keep what we’ve already spent on your behalf.
Cancel Within 48 Hours of Your Bonfire
If you cancel less than 48 hours before your scheduled bonfire, we’re unable to fully refund the reservation due to the late notice. In this case, your refund will be minus the $125 permit fee and a $100 late cancellation fee, which helps cover staffing, prep, and scheduling that was already in motion.
Why These Fees Exist
We’re a small, family-run business and we truly value each customer. These fees aren’t about making money — they cover hard costs we can’t recover once we’ve begun preparing your experience. By giving us enough notice, you help ensure we can fill your time slot and avoid waste.
Weather & Beach Conditions Policy
Your safety and enjoyment are our top priorities. Because our bonfires are outdoors, sometimes Mother Nature doesn’t cooperate. We strive to be flexible and fair in case of bad weather or other beach conditions:
Monitoring the Forecast:
We keep a close eye on the weather forecast leading up to your event. A little sea breeze or light drizzle won’t scare us off – in many cases, a bonfire can still be enjoyed in light weather. For minor weather concerns, we can also adjust the start time of your bonfire (for example, start a bit later to let a shower pass) at no extra cost. Our team is prepared to wait out brief rain showers and continue with your reservation when safe.
Inclement Weather or Official Beach Closures:
If severe weather is expected (such as thunderstorms, heavy sustained rain, or high winds) or if there’s an official county-issued beach closure or burn ban on the day of your bonfire, we will work with you to reschedule your bonfire to another available date. There is no penalty or service fee for rescheduling due to weather or emergency beach closures – we want you to have your bonfire on a better day! (Please be aware that because county fire permits are date-specific, a new permit ($125 fee) will need to be obtained for the rescheduled date. We’ll handle the permit process.
Weather Cancellations:
In the rare case that we have to cancel the bonfire from our end due to unsafe weather or beach conditions and you are unable to reschedule, we will provide you with a fair refund or credit. Typically this means you’d receive a full refund minus any non-refundable permit fee we’ve already paid on your behalf (since permits are out of our control). We will always communicate with you on the day of the bonfire if weather issues arise. Our goal is to either find a way to make your bonfire happen safely or make things right by rescheduling or refunding you.
Rescheduling Policy
We understand that sometimes you don’t want to cancel outright – you just need to change the date of your bonfire. We treat rescheduling requests with the same flexibility as cancellations:
How to Reschedule:
Please contact us as soon as you know you need to change your bonfire date. We’ll check our schedule and do everything we can to find a new date that works for you and your group.
No Rescheduling Fee:
We do not charge any fee to reschedule your bonfire. We’ll simply move your reservation to the new date (pending availability). Your payment will be applied to the new date’s booking.
Permit Considerations:
Because Walton County bonfire permits are date-specific and non-transferable, we may need to secure a new permit for your new date ($125 fee). If we have not yet obtained the permit for your original date, we can reschedule you with no extra costs at all. If we already obtained a permit for the original date, that permit cannot be reused for a different day – in this case, you would need to pay the standard permit fee for the new date. We will always be upfront about whether a new permit fee is needed. (We do our best to minimize any extra costs for you when rescheduling.)
Timing:
If your rescheduling request comes well in advance (e.g. a week or more before the bonfire), it’s usually very straightforward to accommodate. If it’s last-minute (within a day or two of the scheduled bonfire), we will still make every effort to adjust, but availability of permits or staff could be limited. Regardless of timing, we’ll work with you to find the best solution.

BONFIRE TURTLE NESTS POLICIES
Turtle nests may pop up during the nesting season, May - October. Should a turtle nest block your beach bonfire use, we will move your beach bonfire to the next available beach access with a $125 temporary beach bonfire permit fee and any additional permitting fees that may apply. The county might allow us to move the permit without fees and if so, we won't charge any additional fees to move.
